Secretarial and Administration

 

A query was raised regarding production of the handbook for Repton Members, now that this year’s membership list was up to date. As the handbook has not been produced for a few years, IR agreed to speak to Steve Pogmore to obtain details of the process.

 

An invoice has been sent to Colin Haynes and Neil Nightingale for an advert in the handbook – it was unclear whether this was based on a commitment to advertise in this year’s handbook, or for an unsettled payment for a previous year’s advert. SE to clarify with Paul Howkins.

 

AO stated that there is a requirement to notify Companies House of any changes on the Committee. AO to circulate the relevant forms to Committee members for completion, and, upon their return, notify Companies House.

New Members

 

(ref 4.1.1) All members from last year identified as candidates for rejoining have now been chased up, with the exception of Andy Hobson. MA agreed to chase up Andy Hobson to confirm whether he is intending to rejoin. Membership currently stands at 86.

 

AO to circulate latest list of members to the Committee. MA asked AO to highlight new members.

 

Other Membership Matters

 

AO to forward membership details to England Squash. IR to supply England Squash contact details to AO.

 

(ref. 4.2.3) Panan Joshi’s key fob has now been cancelled.

 

SE stated that an advert targeting new members had been drafted and was ready for inclusion in the January edition of the Hilton, Littleover and Willington Advertiser magazines, at a cost of around £175. It was agreed that this was a good approach to attract members to the club, SE agreed to take this forward.

WH supplied figures up to and including October 2007 (see Appendix A). A discussion on the information provided concluded with a feeling that this information (in its current form) did not clearly provide a true position of the financial position of the Club. MA agreed to obtain historical information relating to court usage and bar takings and supply to IR for analysis.

Club and Team Squash

 

Team Squash Update

 

GW stated in his report (see Appendix B) that the third team had been struggling to get a consistent and competitive side out, due to injuries and unavailability of team members. It was agreed that SE should liaise with GW on the nomination list for the 3rd team, in an attempt to alleviate this problem. New nomination list to be submitted (by GW) to Gill Ford before the first match of the second half of the season.

 

Items outstanding from 17th October

 

(ref. 6.2.3) MA produced club competition winners' photos from Graham Howkins. AO to produce photo boards for all outstanding seasons and mount at the club.

 

 

Internal Leagues/Competitions

 

The Doubles league is now up and running and is to be used as the medium upon which the semi-finalists for this season’s Doubles competition are determined.

 

The issue of how to integrate new members and get them playing (more) was discussed. Resurrecting the ladder would provide a competitive element and also provide new members with names of other members of a similar standard to approach for games. This was preferred to an Internal League system at this stage. The Committee need to work together with MA to contact new members and get the ladder up and running again.

 

The possibility of a Christmas ‘Club Night’ was mentioned, again with the aim of getting people playing more and integrating new members. Following this, a further event would be held. First opportunity of the new year to hold such an event would be 6th Feb 2008. SE to take this forward.

 

AO to liaise with GW to come up with some fixed dates for this season’s club competitions, so that these can be communicated to members via the notice boards and the website.

 

Following the success of the Racketball Night organised by SE, an internal racketball league is scheduled to begin w/c 3rd Dec 2007.

(ref 7.1.2) (carried forward) IR to speak to Dave Wood about organising a pre-Christmas meeting between the new Committee and the School Bursar.

 

WH provided attendees with a copy of the inspection report from the recent visit by Sue Shaw (South Derbys Environmental Health officer). Minor comments arising from the inspection were:

 

  • Floor covering is lifting at the edges in the bar; clean underneath and re-seal.
  • Replace broken wall tiles in the kitchen.
  • Seal bare shelf edges in the kitchen.
  • These comments have been or are being addressed. WH to provide status report at next meeting.

    Any Other Business

     

    The issue of Friendly matches between Repton and other clubs was discussed. AO stated that Rolls-Royce had been approached and were keen to take part, preferably early in the New Year. Due to other distractions (the Doubles league, team matches and the proposed Racketball night), no dates were set, but AO, GW, MA and SE were each asked to come up with an action plan for organisation of a friendly match between Rolls-Royce (AO), Bradley House (GW), Hood Park (MA) and Burton SC (SE).

     

    SE raised the possibility of using some of the ‘dead’ space near the bar area. One such possibility was to have a pool table in this area. It was agreed that club member’s points of view needed to be canvassed before going ahead with such a move.

     

    It was noted that Andy Clark had been playing at the club despite not being a member. SE to speak to Lee Watson to gauge Andy's intentions, and whether he is considering joining the club, before making any further decision.

    APPENDIX B

     

    Internal Leagues

     

    In view of previous lack of support, the existing Internal League format has effectively been discontinued, with a new Doubles League (organised by GW) taking its place. It was agreed that the Doubles League should become the medium through which the semi-finalists for the Doubles club competition next Spring are determined, with the top 4 in the league progressing. GW to post notification of this on notice board.

     

    The Doubles league has now been formulated into one league and I am please to see that the games are being played

     

    It was discussed how to integrate new and non-team playing members into the club. MA suggested a ‘buddy’ system where an established member of similar standard is allocated to the new member, helping them fix up games and become integrated.

     Speak to Martin

     

    A plan was formulated to set up a new Internal League made up primarily of these members. As part of action 4.1.1 each Committee member is take an action to ask the members they contact (and other ‘fringe’ players as appropriate) if they would be interested in playing in such a league. If a minimum of 10 interested members can be raised, GW to organise leagues. A deadline of 27th October was set to contact and formulate a list of interested parties.

     

     There has been know interest in the internal Leagues to the people that I have spoken to and also I have tried to get the first tournament up and running which was the President cup but as you will see there is only one name on the list

    APPENDIX C

     

    Attached quote from Paul Hastings for electrical work resulting from 3 year inspection plus replacement of court fans. This references the report which Simon and Will have copies of. With regard to the quote I would imagine that in the current circumstances the Club would only wish to progress the items included in Option A (minimum required for compliance) and I would suggest there is some logic in the interests of continuity in getting PH to progress this work having identified the problems. With regard to the Fan replacement you may wish to get alternative quotes (via George or Will's work contacts?) and progress as a separate project – please note if the cost of this still exceeds £1000 it will need to be communicated to the School Bursar. Please let me know if you wish me to progress any of this work with Paul Hastings.

     

    Chilled Water Fountain – serious leak occurred last week – Waterflo (who maintain fountain) visited Club on Friday (23rd Nov) but were unable to repair as problem due to failed weld – Waterflo now contacting Manufacturer to determine remedial action – will let you know progress but early resolution unlikely.

     

    Web Site – All match reports now received and updated on web site, thanks. Everything else up to date as far as I am aware.

     

    PS Derbyshire Squash web site (www.derbyshiresquash.co.uk) is now much improved and holds detailed results from all matches. On balance I think there is still some merit on maintaining our own reports (complete with match commentaries) on our own web site – any views?

    • 1. Ensure EFLI values are satisfactory to all extremities of installation utilizing existing conduit as CPC to all parts.
    • 2. Disconnect affected items.
    • 3. Upgrade supply tails.
    • 4. Provide phase ID.
    • 5. Provide labels.
    • 6. Renew and rectify defective items
    • 7. Provide fly leads.
    • 8. Renew CPC connections.
    • 9. Replace pendant.
    • 10. Repair pattress.
    • 11. Supply cable restraints.
    • 12. Remove socket outlet.
    • 13. Re-position hair drier.
    • 14. Secure item.
    • 15. Provide mechanical protection.
