Secretarial and Administration
(ref 3.1) (carried forward) AO agreed to take on the responsibility of collating and producing a membership list for internal distribution. AO to format and print copies as required.
IR passed a reminder notice to AO to complete the Club’s Annual Return, required by Companies House. AO agreed to take this on.

New Members
Due to the membership renewal process currently taking place, accurate details concerning new members was not available. AO to provide an update on membership numbers at the next Committee meeting.
Other Membership Matters
(ref 4.2.1) (carried forward) SE confirmed that Toyota had been approached regarding a Corporate membership tie-in, but they had refused. However they have agreed to advertise the Club on their internal website.
It was stated that the planned Open Day and BBQ on Sat 22nd August was postponed, due mainly to lack of planning and preparation time before the proposed date. FT and SW had since spoken to SE about a number of ideas for the next few months. Possibilities discussed include:
- Social/Quiz night
- Family/Junior-based event(s)
- Inter-club friendly matches
- Hosting of Derbyshire Closed championships
It was agreed that the rest of the Committee would liaise with SW and FT about getting a family-based event (including kids) organised for December 5th.
(ref 4.2.3) (carried forward) AO stated that the address and contact details for the Club on the England Squash website were incorrect. SE to get this corrected.
(ref 4.2.4) (carried forward) SE handed out the draft questionnaire produced by SW. The meeting attendees approved the content. SE stated that he would send out the questionnaire to the Club membership. The feedback could be discussed further when available.

Juniors
Coaching
LW reported that the proposed summer camps were postponed due to low numbers. To attempt again next year, potentially as full-day events.
The possibility of organising friendly matches for the Juniors to play against Juniors from other clubs was raised. LW agreed to contact the school, and the 3 clubs in the area with Junior sections, about a potential event.
FT to forward to MA digital photos of this year’s tournament winners to include on the photo boards. MA to complete ASAP.

Treasury and Finance
Current Balances

Balances correct up to August’s statement date, however due to the change of mandate IR stated he has had a few issues to sort out with NatWest regarding the Internet Banking access.
SE stated that he had received a response from the School following the Club’s recent correspondence. The indication is that the response is positive, especially concerning the prospect of the recharge from Sandra Davies’ cleaning wages. A meeting is to be set up between the Club and the School to discuss further.

Club and Team Squash
Team Squash Update
SE confirmed that there was no money available from England Squash to help with LW’s coaching of the Ladies.
SE reported that the men would be entering 3 teams following the 1st team’s promotion to Division 1. The club has successfully petitioned the League organisers to move the 2nd team up into Division 3, considering the strength in depth gained by bolstering the 1st team squad. The ladies will be entering 1 team.
Internal Leagues/Competitions
There is little infrastructure at the moment for getting new members playing. To address this, a discussion was held around bringing back the Internal Leagues. It was agreed that a question would be added to the questionnaire (see item 4.2.4) in order to gauge member’s feedback.

Facilities
FT has created and displayed a notice informing the members that their nearest contact point for First Aid is the Swimming Pool reception.
Following an unsuccessful application to England Squash for funds, there is a drive to smarten the Club up (painting, cleaning, tidying and general maintenance work). SE has previously asked for volunteers.
The front door lock has been sticking recently. LW is to call a local contractor to get them to fix.

Any Other Business
An issue was raised with regard to courts being booked but not stamped, which (in one incident) gave rise to the court being overstamped by another member. It was stated that there should be an effort from everyone to stamp their courts at the time of booking. It was agreed that a member has the right to overstamp a court that has been booked but not stamped.
